How do I...

Getting a Procurement Card (P-Card)

  1. 1:1 Purchasing 101 training is required for all new cardholders. This training ensures you understand the responsibilities and guidelines associated with using a P-Card. To schedule your training, please email pcard@tamuk.edu 

    This emphasizes the training requirement and provides a clear action for scheduling.

  2. Submit an application for the procurement card.
    • A NetID with a license is required to process the e-form application. Establish your NetID by submitting a work ticket through ITS.

Reconciling Monthly P-Card Statements

The cardholder, or their delegate, is responsible for reallocating their monthly transactions. Purchases must be reconciled in Concur through Single-Sign-On (SSO) at .

Setup a delegate to allocate charges

  1. Login to SSO at
  2. Go to Concur
  3. Go to Profile --> Profile Settings
  4. Select Expense Delegate from the menu on the left-hand side bar
  5. Click Add
  6. Enter delegate's name or UIN to search by and select from list dropdown list

Fixing a report header policy

  • Change the policy to PAYMENT CARD.
    • When making a selection in a field, clicking on a drop-down will show your RECENTLY USED items listed at the top in BOLD.  If any of your recently used items have FAMIS in parenthesis and you select that item, it will change your policy to FAMIS.  To avoid this, you will need to search for the item you need from the full list.  You will need to scroll down to the very bottom to make your selection.  See, Report Header Policy Issue screenshot.

Transactions to submit on an Expense Report

  • An expense report should only contain the transactions within a specific billing cycle.
    • In Concur, each expense has a credit card icon that shows a Transaction Date, Posted Date and Billing Date. The month of the BILLING DATE will determine the Billing Cycle month for that expense.

    • The Citibank (GCMS) website is also available for cardholders to run an expense report for a billing cycle to use as a guide on what transactions to include for Concur expense reports. Instructions on how to run an expense report in GCMS.

Checking the Status of a Concur Expense Report

  1. From the Concur Home Screen, click on the Expense tab at the top.
  2. You can view all reports by clicking on Report Library.
  3. Double click on the report that you need to check on.
  4. Click on Details.
  5. Select Approval Flow.
  6. Click the Drop Down(s) for the account(s) used on the Expense Report.  This will show who is in the approval path and if they have approved the report.

Setup or Reset my P-Card PIN

  • Call Citibank PIN Service line at 877-905-1855.

Changing the Limits On a P-Card

  • Requests to change P-Card limits must come from your Department Head.
